Where we engage with clients in regulated sectors — including healthcare — we handle any sector-specific data in accordance with the relevant regulatory requirements applicable to that client.

  • To enter into and perform our services under a Master Service Agreement and Statement of Work

4. How We Use and Disclose Personal Information4.1  Internal Use
Personal information is accessed only by TRINE Studio team members who need it to perform their role in delivering or managing the relevant services.
4.2 Subcontractors and Personnel
TRINE Studio engages subcontractors and specialist consultants — including contractors based outside Australia — to assist with the delivery of services. Where a subcontractor may access client personal information, we ensure they are bound by confidentiality obligations consistent with this Policy and our contractual obligations, as required under our Master Service Agreement (clause 6.2).
We do not permit subcontractors to use your personal information for any purpose other than assisting TRINE Studio to deliver the agreed services.
4.3 Third-Party Platforms
We use the following third-party platforms in the course of operating our business:
  • Tilda Publishing — our website platform, which hosts the enquiry forms on trine-studio.com
  • Google Drive/One Drive — for secure file storage and client document handover
  • CRM — for project management and CRM functions
  • Email and standard communication platforms
Each of these platforms has its own privacy policy and security practices. We select platforms that meet reasonable data security standards.
4.4 Disclosure to Third Parties
We do not sell, rent, or trade your personal information. We will not disclose your personal information to any third party except:
  • Subcontractors and personnel engaged to deliver our services (as described in clause 4.2)
  • Where required or authorised by law (including by court order or regulatory authority)
  • Where you have given us your consent to do so

5. International Disclosure of Personal Information
Some TRINE Studio subcontractors and personnel are based outside Australia. Where we disclose your personal information to overseas recipients, we take reasonable steps to ensure that those recipients handle your information in a manner consistent with the Australian Privacy Principles.
By engaging TRINE Studio's services, you acknowledge that your personal information may be disclosed to overseas personnel for the purpose of delivering those services.

6. Data Retention
We retain personal information only for as long as necessary to fulfil the purpose for which it was collected, or as required by law.
  • Enquiry and contact form data: retained for up to 2 years from the date of submission
  • Client engagement data: retained for 7 years from the conclusion of the engagement (consistent with standard commercial record-keeping requirements)
  • Financial records: retained for the period required under applicable tax and accounting legislation
When personal information is no longer required, we take reasonable steps to destroy or de-identify it securely.

7. Security
TRINE Studio implements reasonable technical and organisational measures to protect personal information from unauthorised access, use, disclosure, alteration, or destruction. These include access controls, secure file storage, and contractual obligations on personnel and subcontractors.
No method of transmission or storage over the internet is completely secure. While we take reasonable precautions, we cannot guarantee absolute security. If you believe your information has been compromised, please contact us immediately.

8. Data Breaches and Notification
In the event of an eligible data breach affecting your personal information, TRINE Studio will comply with the Notifiable Data Breaches (NDB) scheme under Part IIIC of the Privacy Act 1988 (Cth). This includes:
  • Assessing whether the breach is likely to result in serious harm to affected individuals
  • Notifying the Office of the Australian Information Commissioner (OAIC) as soon as practicable, and no later than 30 days after becoming aware of the eligible breach
  • Notifying affected individuals as soon as practicable after notifying the OAIC
Where TRINE Studio holds personal information as a service provider to a client, we will promptly notify the client of any actual or suspected data breach affecting their information, consistent with clause 12.4 of our Master Service Agreement.

9. Your Rights Under the Australian Privacy Principles
Under the Privacy Act 1988 (Cth) and the APPs, you have the right to:
  • Access the personal information we hold about you
  • Request correction of personal information that is inaccurate, incomplete, or out of date
  • Request that we not use your personal information for direct marketing (where applicable)
  • Make a complaint about how we have handled your personal information
To exercise any of these rights, please contact us using the details in clause 11. We will respond within a reasonable timeframe and no later than 30 days.
If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or by calling 1300 363 992.
